This privacy policy explains how I, Julie Fox, trading as Aurora Ceremonies, collect and use your personal information when you use this website or get in touch with me about a ceremony. I’m responsible for your information (the “data controller”).

What information I collect
When you fill in my contact form: your names, email address and phone number, how you’d prefer me to reply, what you’re planning, your date, your venue or area, rough guest numbers, how you heard about me and anything you tell me in your message. A copy of your enquiry is kept on this website, and the form emails one to me and one to you. When you send the form, the website also records your IP address and browser type with your enquiry, to help protect against spam and misuse.
While I prepare your ceremony: the stories and details you share with me about yourselves, your family and friends, and any vows, readings or music you choose.
For funerals: information about the person who has died and their family, shared with me by the family or funeral director.
When you book: the details I need to confirm your booking and send invoices. I don’t store card details.
Reviews: your first names and venue, if you give me permission to publish your review. I only show a photo of you with it if you’ve said I can.
Website use: if you accept analytics cookies, Google Analytics collects information about how you use this website, such as the pages you visit, how you found the site, roughly where you are (town or region) and the type of device you use. My website hosting also keeps standard server logs, such as IP addresses and browser types, to keep the site secure.
How I use it, and why I’m allowed to
To reply to your enquiry and send you information you’ve asked for, because it’s a necessary step before we agree a booking, or in my legitimate interest to answer you.
To write and deliver your ceremony, because it’s needed to carry out our agreement.
To keep business and financial records, because the law requires me to.
To publish reviews on this website, only with your permission, which you can withdraw at any time.
To keep this website secure, in my legitimate interest.
To understand how people use this website so I can improve it, only if you accept analytics cookies. You can withdraw that permission at any time.
Who I share it with
I never sell your information or use it for anyone else’s marketing.
I only share it with the services that help me run my business, such as my website hosting (based in the UK), my email provider, my accounting software, an email delivery service that sends this website’s emails, and Google Analytics (only if you accept analytics cookies), and with other people involved in your ceremony (for example your venue, a funeral director or my sound specialist) where they need it to help deliver the day. Google may process website information outside the UK, under safeguards approved by UK law.
I’ll also share information if the law requires me to.
How long I keep it
Enquiries that don’t go ahead: deleted after 12 months, including the copy stored on this website. Records of emails sent by this website are deleted after 90 days.
Ceremony scripts and notes: kept until you ask me to delete them, as couples and families sometimes ask for another copy.
Financial records, such as invoices: kept for at least six years, as HMRC requires. My accounting software keeps records permanently once they’ve been included in a tax return, and doesn’t allow them to be changed or deleted, so they stay there securely after that. I don’t use them for anything else.
Keeping it safe
I keep your information on password-protected devices and secure online services, and only share what’s needed.
Your rights
You can ask for a copy of the information I hold about you, and ask me to correct it, delete it, limit how I use it or stop using it. Where you’ve given permission, you can withdraw it at any time. Just email or call me.
If you’re unhappy with how I’ve handled your information, please talk to me first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Cookies
Cookies are small files a website stores on your device. This website uses two kinds.
Essential: one cookie, ac_consent, remembers whether you accepted or rejected analytics cookies, so I don’t ask you on every page. It lasts 12 months.
Analytics, only if you say yes: Google Analytics sets cookies (named _ga, and _ga_ followed by an ID) that show me which pages people visit and how they found the site. They last up to two years. The information is combined with other visitors’ and I can’t use it to identify you.
If you don’t accept, Google Analytics doesn’t set any cookies. It may still receive basic, anonymous information when a page loads, such as that a visit happened, which Google uses to estimate visitor numbers without identifying anyone.
You can change your mind at any time using the Cookie settings link at the bottom of every page.
Changes to this policy
I may update this policy from time to time. The date at the top shows when it was last changed.
